Expense Authorization Policies

These guidelines are recommended for use by Departments or Colleges, they are not official FAU policies. These guidelines can be adopted by and used by any Department or College.

Class Size

The Center for eLearning supports the following practices for determining the class size for online students.

  • Courses should be designed with similar content and assignments to ensure the quality of the course regardless of the delivery method.
  • Class size should be determined by the department for the courses based on the content of the course. Online courses should have the same rigor as traditional courses. Therefore, there should be no difference in the class size of traditional courses.
  • In addition, if the department and instructor are willing to increase course seats available, the instructor could be eligible for a TA. A faculty member that is teaching 70 + students can receive a TA and additional TA for each additional 35 students paid for by CeL. The faculty member selects the TA, and the department sets up the payment using their designated eLearning smarttag.

Stipends for eDesign Course Development

All full-time, part-time and adjunct faculty have the opportunity to receive the following incentives. The incentives are:

  • $2,000 stipend after the course is developed, and peer approved.
  • The departmental equivalent adjunct rate will be paid when the course is taught in an online method coded course (BT, BTL, BM) for the first time as a stipend.

Stipends for Course ReDesign

All instructional staff are eligible for updating and refreshing an online course and receiving a flat stipend in the amount of $3,000.  As technology is rapidly changing, and open resource materials are becoming more readily available it is important for each course to get a fresh look every 3 years.  This payment will be processed upon completion of the ReDesign and peer review.

Stipends for Professional Development

Any instructional staff member can participate in the eCertification course and receive the following incentive. In order to successfully complete the 8-week workshop, the participant must collect all badges to earn the eLearning Designer/Facilitator certification.

  • Successful completion of all badges earns a $500 stipend

Please note that Ph.D. candidates and master degree students are welcome to participate in the eCertification course; however, they are not eligible for the $500 stipend.

Stipends for Quality Matters Review

Any instructional staff member can receive a stipend of $1000 for submitting a course and receiving the Quality Matters seal for their online course.

Stipends for Faculty Achievements

The FAU Excellence in eLearning Awards celebrate FAU faculty and administrators’ dedication to excellence, innovation, and student success in online education. The awardees are selected through a committee with advisory board and faculty representations. The awardees also participate in an interview with the Assistant Provost which is video recorded and used as promotional materials for the Center. The awards are as follows.

  • $1000 for full-time faculty
  • $1000 for adjunct faculty
  • $2500 for leadership recipient

Departmental Program Coordinators

The Online Program Migration Department Coordinator will coordinate Online Program Migration Activities between the Center for eLearning and Department faculty and staff. The coordinator should be a faculty member in the department. Because the coordination responsibilities are over and beyond a faculty member’s assignment, the Center for eLearning will pay the coordinator $3000 per semester.

Co-ordination responsibilities include working with the Center for eLearning as follows:

  1. Identify the degree requirements for the program, including the current online offerings, courses that need to have a template update or require CeL co-design, and subject matter experts for each course.
  2. Create an Online Course Development Plan and schedule and ensure the proper paperwork and permissions are in place for the courses that are to be developed for the following semester; keep the Department Chair up to date on the requirements of the plan.
  3. Act as a liaison between the Center for eLearning and the department faculty.
    1. Maintain contact with faculty members in the department currently working with CeL to design an online course in order to facilitate that member’s ability to meet the expectations outlined by participating in eDesign.
  4. Create an online Flight Plan/Plan of Study and obtain approval from the Department Chair to offer schedule online courses to support that plan.
  5. Develop a Marketing Plan
    1. Assist with development of marketing materials for the Program
    2. Provide the Center for eLearning with the information they need to develop the online program page on the CeL website.
    3. Coordinate with the College web designer the changes needed to include the online programs on the Department’s website.
    4. Identify a faculty member who would be willing to work with the CeL marketing team to develop a video about the program.
    5. Identify student(s) who would be willing to work with the CeL marketing team to create a student testimonial about taking online courses in your department.
    6. Provide wording for any brochures that the Center is developing for marketing purposes.
  6. Develop a Curriculum Map which aligns Core Course objectives with the Program’s Student Learning Outcomes (SLO) Assessment Plan.
  7. Work with CeL to implement an Assessment plan for online courses based on the Curriculum Map.
  8. Implement all plans.
  9. Work with College staff to ensure support services are available for students
    1. Coordinate with the College advising staff to ensure they have the information they need about the online program so that online students can receive timely and accurate program information from their advisor. (undergraduate programs only)
    2. Coordinate with CLASS for mentoring support for classes that have high DWF rates. (undergraduate programs only).

Additional Funding Opportunities

The Center for eLearning budgets additional funds each year to help support the development and quality of distance learning. This can include, but is certainly not limited to enhancing technology, funding conference travel related to distance learning education, open educational resources and various other initiatives.  A form must be filled out (insert link here) and approved by the financial committee of the eLearning task force.

Student Services Supported by the Center for eLearning

The Center for eLearning provides staff support for student support units across the campus. When appropriate to support the distance learning students, hardware and software are also purchased as necessary to accomplish the goals of these units.

CLASS: online tutorial support center.

Math Lab: Online math tutorial support center

Testing Center: Support proctored exams for online courses

Online Computer Lab: Supports online computer science students in receiving equivalent support for computer science courses.

Online Math Boot Camp: Provided hardware that allows online math boot camp participants to join a live camp session.

Library: Purchase of electronic resources in support of the online programs whenever possible or required for the success of the online degrees.

Other Areas of Support

The Center for eLearning values academic integrity as part of the mission in maintaining quality of the distance education degrees and courses. For this reason, the Center absorbs the cost of online proctoring. In this way, students do not encounter additional unexpected costs in taking online courses. The Center for eLearning supports the following products.

  • HonorLock
  • RPNow

The Center for eLearning supports one-off types of projects that supports one of the three goals of the Center as defined below in our Policy Statement. A form is available for units to fill out online from the website. The current process is for the Center for eLearning staff to evaluate these requests. The plan is to move to a committee approval process.

  • The Center for eLearning (CeL) is committed to increasing access to education, improving student-learning outcomes, and holding constant or reducing instructional costs by effectively utilizing technology in course delivery redesigns.
  • The CeL provides continuing educational support to faculty and staff across all FAU campuses in order to promote the highest quality distance learning course development and delivery.
  • The CeL provides the highest level of support for distance learning students ensuring them the same support methods available as traditional course delivery for student success from enrollment to graduation.

Student Policies

Distance Learning Student Privacy Policy

  1. All state and federal laws and regulations and FAU regulations and policies concerning the privacy of student records (collectively, “Privacy Authorities”) shall apply with equal force and effect to distance learning student records.
  2. Access to distance learning courses and live or recorded webcasts shall only be granted via secure password to properly enrolled students.
  3. All websites that collect personally identifiable information from distance learning students must be secured encrypted websites.
  4. Distance learning students should not be asked or required to disclose passwords to their FAU Net ID or other accounts. FAU will never ask distance learning students to verify account information via email or provide a link to a website requesting their account information. If a distance learning student receives such a request, DO NOT RESPOND OR CLICK ON A HYPERLINK and please report such to FAU’s Office of Information Technology.
  5. Social security numbers should not be transmitted via email and should only be collected from distance learning students and used by FAU as permitted by law and as set forth in the University’s Collection & Usage notice.
  6. Recorded materials involving distance learning students should be securely maintained and may only be used or disclosed in accordance with the Privacy Authorities.
